REFUND, CANCELLATION & TICKET TRANSFER POLICY

APPLICATION SCOPE: Membership Dues, Event Pass Transactions, Waitlist Allocations, and Ticket Transfers


1. MEMBERSHIP DUES NON-REFUNDABILITY

All annual and semi-annual household membership fees are 100% non-refundable and non-transferable upon payment capture.

Membership activation triggers immediate allocation of community infrastructure, digital portal access, and administrative processing. No full, pro-rata, or partial refunds or credits shall be issued under any circumstances, including voluntary resignation, non-usage of benefits, or account revocation due to policy violations.

2. EVENT TICKET CANCELLATIONS & THE 24-HOUR GATE

Event tickets purchased by Members or Guests are governed strictly by an automated database-enforced timeline prior to the scheduled event start time:

2.1 Greater Than 24 Hours Prior to Event Start

  • Self-Service Cancellation: Members may trigger an automated cancellation and 100% refund directly within their /circle portal. Guests may initiate cancellation via the gated ticket verification portal.
  • Refund Processing: Upon cancellation, a 100% refund of the ticket purchase price will be issued automatically to the original payment source via Our authorized payment gateway. Refunds typically reflect within 5 to 7 business days.

2.2 Less Than 24 Hours Prior to Event Start

  • Non-Refundable Window: Within 24 hours of the scheduled event start time, the cancellation and refund function is permanently disabled.
  • Absolute Restriction: Tickets inside this 24-hour window are 100% non-refundable under all circumstances, including but not limited to personal emergencies, illness, travel delays, or non-attendance.

3. TICKET TRANSFER MECHANICS & LIABILITY

If a Member or Guest is unable to attend an event within the 24-hour non-refundable window, they may transfer their ticket to another individual subject to the following rules:

3.1 Transfer Execution

  • Transfers may be executed via the portal up to one (1) minute prior to the official event start time by submitting the recipient’s (“Transferee”) Name, Email Address, and Phone Number.
  • The system dispatches a digital ticket link directly to the Transferee. Original billing details, invoices, and purchase amounts are automatically redacted and hidden from the Transferee.

3.2 Peer-to-Peer Financial Disclaimer

  • Payment exchanges for transferred tickets occur strictly between peers. The Cove & Kin LLP does not manage, escrow, process, or guarantee peer-to-peer financial settlements.
  • The Cove & Kin LLP assumes zero liability for financial disputes, non-payment, or overcharging between transferors and transferees.

3.3 Transferee Binding & Non-Cancellability

  • Transferred tickets become strictly non-cancellable and non-refundable.
  • The Transferee, if not already a member, must execute a 1-Click Check-in Waiver Acceptance (binding them to Our General Attendance Policy, Venue Rules, and Camera Ban) on their dynamic entry pass generation page prior to entering the venue.

4. WAITLIST RACE CONDITIONS & OVERSELL REMEDIES

4.1 Competitive Waitlist Allocation

When an event sells out, users may register their email address on the automated waitlist. When a ticket is cancelled prior to transfer window, the system dispatches an automated notification to all waitlist registrants for that event – members receive priority notifications if there are more than 60 hours to the event.

  • Competitive Checkout: Waitlist tickets are allocated strictly on a “first-to-complete-checkout” basis. Registering on the waitlist does not reserve or guarantee a ticket.

4.2 Concurrency Oversell Remedy

In the rare event that database concurrency processing results in a simultaneous checkout collision (subject to technical verification by us) that oversells an event beyond venue capacity, The Cove & Kin LLP will:

  1. Cancel the secondary transaction that breached venue capacity limits; and
  2. Issue an immediate 100% automated refund to the secondary purchaser’s original payment source.

5. GUEST TICKET ACCESS & VERIFICATION

Non-member Guest ticket purchasers do not receive access to The Circle Member Portal. Guests may view, manage, or transfer their tickets through a gated verification page accessed via email-based identity validation.

6. PAYMENT DISPUTES & CHARGEBACKS

By purchasing a membership or event ticket, You agree to utilize Our internal customer support channels (support@thecoveandkin.club) to resolve any billing inquiries or processing errors.

Filing an unauthorized, fraudulent, or bad-faith payment chargeback with Your issuing bank or credit card provider shall result in immediate, permanent revocation of household membership and a permanent ban from all future Cove & Kin platforms and physical sanctuaries.
